Helping Your Students Nail the “Thank You” Email After An Interview

You know the feeling. A student walks into your office excited about how their interview went, and you ask, “So, when are you sending your ‘thank you’ email?” Cue the blank stare.

We’ve all been there. The ‘thank you’ email after an interview is one of those critical steps that so many students either skip entirely or stress about way too much. But when done right, it’s a smart way for them to stand out. Whether they’re interviewing for grad school, internships or their first full-time role, these principles apply across the board.

Do People Really Care About “Thank Yous”?

Some students will roll their eyes at the idea of a thank you email after an interview, but here are some of the things you can tell them in response to that:

• It shows you’re professional and detail-oriented (two things employers value)

• It keeps your name fresh in their mind when they’re making a decision

• It proves you’re genuinely interested, not just going through the motions.

• It gives you a chance to reinforce why you’re a great fit (without being pushy)

• It creates one more positive touchpoint during their decision-making process

The research backs this up, too. Candidates who send a thoughtful ‘thank you’ email after an interview get remembered more positively. When competing against a dozen other qualified people, every advantage counts.

The Golden Window: 24-48 Hours

Timing is everything here. Tell your students to aim for sending the thank you email 24-48 hours after the interview wraps up. Why?

Think about it from the interviewer’s perspective. They might be meeting with five candidates this week. If your student waits four days to send an email, the interviewer’s already deep in conversations with other people.

The email lands with a “wait, which one were they again?” instead of an “Oh yes, great conversation!”

That said, rushing isn’t the answer either. A typo-filled, generic thank you email after an interview sent at 11 pm the same night is worse than waiting. Instead, encourage your students to jot down notes right after the interview while details are fresh and identify 2-3 specific moments that stood out to them. Once they’ve done this, they can then consider how to naturally reinforce their fit.

What Should Actually Be in a Thank You Email After an Interview?

This is where students often freeze up. “What do I even say?” The secret? Specificity beats length every single time.

A generic “thanks for your time” is like sending nothing at all. Help your students understand they need to make the email personal to their conversation.

Walk them through these four elements:

1. Specific gratitude: Thank them by name and reference something particular that you discussed together.

2. A program or role highlight: Mention 1-2 things that genuinely excited you during the conversation.

3. A subtle fit reminder: Connect something from your background to what you learned in the interview.

4. An enthusiastic close: Express genuine excitement about next steps and thank them one more time.

The whole point is to remind them of your actual conversation while showing you’re still excited about the opportunity.

This is also where mock interview practice really pays off. When students practice with tools like InterviewFocus, they get better at picking up on these details in real-time and remembering them later.

Red Flags to Watch For

When you’re reviewing drafts with students (or running workshops), keep an eye out for these common mistakes:

• The generic trap: “Thank you for your time” with zero specific details

• The novel: A three-page email rehashing every minute of the conversation

• The rush job: Typos, grammar issues and formatting disasters.

• The copy-paste fail: Wrong names, wrong programs and wrong everything.

• Too casual: Emojis, “Hey!” or text-speak have no place here.

• Second-guessing themselves: Bringing up concerns that never surfaced during the interview.

Many of these mistakes happen when students haven’t prepared well for the interview itself. When they practice with realistic simulated mock interviews, they get better at remembering details and spotting what’s worth mentioning in follow-up.

Making This Part of Your Workflow

You’re probably already juggling a million things, so here are some easy ways to weave this into what you’re already doing:

After mock interviews: Have students draft their thank you email after an interview right there in the debrief. It reinforces the connection between doing well in the interview and following up effectively.

If you want to give students more practice reps before they see you, InterviewFocus lets them do multiple AI-powered mock interviews on their own time. They get detailed feedback on everything from eye contact to pacing, so by the time they come to you, they’re already leveled up.

In your workshops: Drop a 15-minute segment on “thank you” emails into your interview prep workshops. Show them the samples, talk through the common mistakes and let them ask questions.

Quick reference handouts:
Create a one-pager they can put in their bag before an interview. Sometimes the simplest tools are the most effective.

Drop-in review hours:
Set aside time specifically for students to swing by and get quick feedback on their thank you email after an interview before hitting “send.”

One-on-one sessions:
For your students facing high-stakes interviews such as grad school programs, personal coaching that covers the whole interview cycle (prep, performance and follow-up) can make all the difference.

What Do These Principles Work Best For?

Practically every situation!

• Job interviews (full-time positions, internships, co-ops)

• Informational interviews and networking coffee chats

• Fellowship and scholarship interviews

• Professional school interviews (med, law, business school)

The core idea stays the same across all of them: be specific, be timely and show genuine interest. That’s what separates the good candidates from the forgettable ones.

Want to Level Up Your Interview Prep Offerings?

We get it. You want to help every student who walks through your door, but there’s only so much of you to go around. Between appointments, workshops, career fairs and everything else on your plate, it’s tough to give everyone the practice time they need.

That’s where InterviewFocus comes in.

We built our platform specifically to complement what you’re already doing – not replace it. Think of it as giving your students multiple practice reps between their sessions with you.

Here’s what makes InterviewFocus work best as your partner in prep:

• Students can practice multiple mock interviews 24/7

• They get real-time feedback on things like eye contact, filler words, pacing and even facial expressions

• You can customize question banks to match specific industries, roles or programs your students are targeting

• Progress tracking helps both students and advisors see improvement over time

• Personal coaching services are available for students who need extra support beyond the AI practice

The best part? Students show up to your appointments better prepared, so you can focus your time on the nuanced stuff that really needs your expertise. It’s a win-win.
